Quotes vary widely depending on service style, guest count and venue, and most price lists online are either outdated or so vague that they're not much use for actual planning.
Here's a realistic look at what is shaping 2026 & 2027 wedding catering costs in Brisbane, so you can budget properly - well before you're deep into venue and supplier conversations.

Service-style is the single biggest impact on per-guest catering cost because it dictates the labour, preparation and facilities required. For example, a relaxed grazing-table and canapé reception requires less staffing than a multi-course plated dinner, making it a much more budget-friendly option.
Custom menus outside of a standard catering package require additional planning, testing and ingredient sourcing. We do love to flex our culinary creativity through a bespoke menu but going custom brings a higher price. Our standard menu options have already been curated, sourced, and perfected.
Guest count affects cost per head in both directions. Smaller weddings (under 40 guests) often carry a slightly higher per-person price because fixed costs like staffing are spread across fewer people, while very large weddings (200+) can bring the per-person rate down due to efficiencies of scale.
Venue type makes a difference. A venue with a fully-equipped kitchen on site helps to lower the catering cost. We can cater to the backyard marquee - but factors like access, power and water do add up. Before you settle on a venue, it can be helpful to consider whether it'll invite additional charges such as generators, equipment transport and setup time.
Season and day of week - peak wedding season (spring, and increasingly early autumn in South-East Queensland) and weekend dates typically carry a premium simply due to demand. If your date is flexible, your budget can be too.

These are broad starting ranges based on service style - treat them as a planning tool, not a quote. Every wedding is different and the only way to get an accurate number is a proper consultation based on your guest count, venue and menu preferences.

Photographers, videographers, band members and celebrants generally need to be fed too (they're sometimes onsite for up to 12 hours). If your suppliers will be at your event all day, it's important to factor them in to the catering budget.
Underestimating bar and beverage costs relative to food

Comparing quotes without comparing inclusions

Rather than putting as many options on the table as possible, there's a science behind choosing a single or alternate-drop menu that truly impresses. Quality, seasonal ingredients and thoughtful dishes will beat an overflowing station of lower-quality options, every time.
